Privacy Notice

Neuromatch, a 501(c)(3) nonprofit corporation ("Neuromatch" or "we"), as a data controller, will process personal information collected hereunder in compliance with data protection laws and regulations, in particular the EU General Data Protection Regulation EU/2016/679, as they may be applicable and amended from time to time. This privacy notice applies worldwide to all applicants and participants (“you”) of Neuromatch Academy's summer school program (the “Summer School Program”). Neuromatch may update this notice at any time but if we do so, we will provide you with an updated copy of this notice as soon as reasonably practical.

It is important that you read and retain this notice, together with any other privacy notice we may provide on specific occasions when we are collecting or processing personal information about you, so that you are aware of how and why we are using such information and what your rights are under the applicable data protection laws.

What Personal Information Neuromatch Collects

Neuromatch will collect and process certain personal information provided directly by you for the following purposes:

  • Recruitment purposes
  • Entering into, executing, and performing this agreement (including for payroll purposes, performance reviews, training, and legal disputes)
  • Managing the Summer School Program
  • Research purposes
  • Ensuring network and information security, including preventing unauthorized access to the electronic communications systems and preventing malicious software distribution

If you fail to provide certain information when requested, Neuromatch may not be able to perform this contract (such as paying you or providing certain benefits), or Neuromatch may be prevented from complying with its legal obligations (such as ensuring the health and safety of workers).

Legal Basis for Processing

Neuromatch will use your personal information where it is necessary to:

  1. Perform this contract
  2. Comply with a legal obligation
  3. Pursue the legitimate interest of Neuromatch or a third party, to the extent your interests and fundamental rights do not override those interests

These legitimate interests include managing the Summer School Program and scientific research. To the extent required by applicable law, Neuromatch may also seek to obtain your consent to process your personal information.

Sharing Personal Information

Neuromatch will share your personal information with third parties where:

  • Required by law
  • Necessary to administer the working relationship
  • Neuromatch has a legitimate interest in doing so

More specifically, Neuromatch may share your personal information with:

  • Third-party service providers, such as Google, for IT-related services (e.g., cloud services)
  • Participants of the Summer School Program (for administering the discussion forum)
  • Funding agencies (for payment purposes as defined in the Independent Contractor Agreement)

Certain recipients might not be located in the European Economic Area or a country recognized by the European Commission as providing an adequate level of protection. These transfers may be made to the United States to an entity that is a certified member of the EU-U.S. Privacy Shield or necessary for the performance of the Independent Contractor Agreement.

Consent for Processing

Neuromatch will only use consent as a legal basis if required by applicable legislation. You are informed that Neuromatch will transfer the following personal information as required by applicable law:

  • To third-party funding agencies: First and last name, address, email address, social security number, or other equivalent identifier
  • To participants of the Summer School Program: First and last name, email address (for discussion forum participation)
  • On publicly accessible websites: First and last name (to identify Summer School Program participants)

Data Retention

Neuromatch will retain your personal information for as long as necessary to fulfill the purposes it was collected for, including legal, accounting, or reporting requirements. To determine the retention period, Neuromatch considers the amount, nature, and sensitivity of the data, the potential risks, the purposes of processing, and any applicable legal requirements.

You must inform Neuromatch of any changes to the personal information provided.

Your Rights

Under certain circumstances and to the extent you are located in the European Union, you have the following rights by law:

  • Request access to your personal information (data subject access request)
  • Request correction of the personal information held by Neuromatch
  • Request erasure of the personal information where there is no legitimate reason for Neuromatch to continue processing it
  • Object to the processing of your personal information based on legitimate interests
  • Request the restriction of processing of your personal information
  • Request the transfer of your personal information to another party in a structured, commonly-used, and machine-readable format
  • Right to lodge a complaint with the competent data protection authority
  • Withdraw consent where the processing is based on consent
